1. Responsibility

The company within the synvert GmbH Group to which you apply is responsible for processing your personal data in connection with the recruitment process, as well as any other group companies insofar as this is necessary for the implementation of a centralized recruitment procedure.

2. Purpose and Legal Basis of Data Processing

Your personal data will be processed exclusively for the purpose of carrying out the recruitment process, in particular to:

Assess your suitability for a position within the group

Forward your data to other group companies, where relevant, as part of group-wide recruitment activities

The processing is based—depending on your location—on the following legal grounds:

EU Member States (Germany, Spain, Portugal, Croatia): Article 6(1)(b) GDPR (processing necessary for pre-contractual measures) and, where applicable, Article 6(1)(f) GDPR (legitimate interest in efficient applicant management).
Switzerland: Article 6 FADP (processing for the purpose of assessing an employment relationship).
USA: Applicable local labor law provisions and the legitimate interest in a structured recruitment process; consent may be required in some cases.
UAE (Abu Dhabi): In accordance with Federal Decree-Law No. 45 of 2021 on the Protection of Personal Data (“PDPL”), processing is based on legitimate interests and, where applicable, your explicit consent.

4. Data Sharing Within the Group

Your data may be transferred within the synvert GmbH to other group companies if this is relevant to filling a position at another entity. Such transfers are based on the legitimate interest in group-wide, consistent applicant management.
Where data is transferred to third countries outside the EU/EEA (e.g., the USA or Abu Dhabi), appropriate safeguards are implemented, such as Standard Contractual Clauses or adequacy decisions, to ensure compliance with data protection requirements.

Your personal data will be stored for the duration of the recruitment process. After its conclusion, data will be retained for a maximum of 180 days unless a longer retention period is required to protect legal claims or you have expressly consented to a longer storage period (e.g., inclusion in a talent pool).
Deviations may occur due to local statutory retention obligations.

As part of our recruitment process, we use automated tools to support the initial screening of applications. These tools can help us efficiently assess whether a candidate meets certain predefined, job-related criteria. This results in manual or automated decision whether an application will be further considered or not progressing an application to the next stage, if these criteria are not met. An automated decision-making process is a decision based on automated processing, with no human involvement.

Where automated decision-making is used, we ensure that:

it is based on criteria that are relevant to the role and proportionate;
appropriate safeguards are in place to protect your rights, freedoms, and legitimate interests,
you have the right to request human intervention, express your point of view, or contest an automated decision that affects you.
